Cancellation & Refund Policy

What happens if a booking is cancelled, how cancellation charges are calculated, and how refunds are processed and paid.

Last updated: 15 September 2026

Introduction

This policy explains what happens if a booking with Travell Compass is cancelled, and how refunds are calculated and paid. It forms part of our Terms & Conditions.

1. How to cancel

A cancellation is valid only when it is sent in writing to contact@travellcompass.in or on WhatsApp to +91 86796 66063, quoting your booking reference and the names of the travellers being cancelled. The date on which we receive that written request is the date used to calculate the charge. A verbal cancellation is not effective until confirmed in writing by us.

2. Cancellation charges

Charges are a percentage of the total tour cost of the traveller(s) being cancelled:

Written notice receivedCancellation chargeRefund to you
30 days or more before departure10% of tour cost90%
29 to 15 days before departure30% of tour cost70%
14 to 8 days before departure50% of tour cost50%
7 to 4 days before departure75% of tour cost25%
3 days or less, or no-show100% of tour costNil

3. Amounts that are never refundable

Regardless of when you cancel, the following are not refundable, because they are paid to third parties on your behalf and are not returned to us:

  • Government Char Dham Yatra registration and biometric slip charges.
  • Third-party permits and passes, which follow the respective issuing authority rules once issued.
  • Non-refundable hotel advances in peak season, and any confirmed non-refundable booking made at your request.
  • Bank, payment-gateway or remittance charges already incurred on the transaction.
  • GST already deposited with the government on the cancelled amount, where it cannot be recovered.

4. Changing dates instead of cancelling

You may request a change of travel dates at least 21 days before departure. We will try to move your booking within the same season at no cancellation charge, but any increase in hotel, transport or seasonal rates, and any charge imposed by a supplier, is payable by you. A date change is subject to availability and is not guaranteed.

5. Reducing the number of travellers

Tour prices depend on group size. If travellers are removed from a confirmed booking, the per-person price for the remaining travellers may be recalculated at the applicable slab, and the difference is payable before departure.

6. If we cancel or cut short a tour

  • For reasons within our control — you receive a full refund of all amounts paid to us, or the option of an alternative date, at your choice. We do not pay compensation beyond that refund.
  • For reasons outside our control (force majeure — weather, landslide, cloudburst, road closure, shrine closure, epidemic, government order, civil unrest) — we refund whatever we are able to recover from hotels, transporters and other suppliers, after deducting amounts already spent or forfeited and our non-refundable service charges. We will show you what was recovered.
  • If a tour is cut short after it has begun, no refund is payable for unused services that were already booked and paid for, except where a supplier actually refunds us.

7. Unused services

No refund is payable for any service that you choose not to use — for example a missed meal, an unused hotel night, a darshan not taken, or a traveller who leaves the tour mid-way. Refunds are not given for shortened sightseeing caused by traffic, weather or crowd conditions.

8. How refunds are paid

  • Approved refunds are processed within 7 to 10 working days of our written confirmation of the refund amount.
  • Refunds are made only to the original bank account, card or UPI ID used for payment. We do not pay refunds in cash or to a third party's account.
  • The time taken for the amount to appear in your account depends on your bank and is outside our control.

9. Complaints about a refund

If you disagree with a refund calculation, write to contact@travellcompass.in with the subject line "Refund Grievance". We acknowledge within 48 hours and give a final written decision within 15 working days.

Travel insurance. Cancellation charges are often recoverable under a travel insurance policy if you cancel for a covered reason such as illness. We recommend buying insurance at the time of booking.
